Minutes St. Thomas Preschool Advisory Board Meeting September 14, 2010
The Saint Thomas Advisory Board Meeting was called to order 12:40 by Michelle Garmon. Present: Michelle Garmon, Dusty Murphy, Nathy Ruther, Amy Huether, Lori Cueva-Garcia, Jennifer Peterson, Julie Nentl, Amy Geile, Gabriella (Gabby) Carrillo, Aumi Leber, Tony Santa Maria and Kym Santa Maria, Joseph (Joe) Stosser (Parish Financial Board), Father John Lyons. Board members provided a brief introduction of themselves. Lori Cueva Garcia said opening prayer. Committee Reports Communications, Gabby Carrillo No initial status report. The Posada was discussed, how it was run last year and how to improve it this year. All members were in agreement last year’s event was the best Posada to date. Lori proposed we handle the food differently this year, the suggestion of selling tamale & rice plates and pre-selling dinner tickets. Further discussion needs to occur regarding how to incorporate the additional children in the Developmental Kindergarten in the program. Community Service, Aumi Leber No initial status report. A brief discussion occurred regarding the food drive for San Carlos Reservation for Thanksgiving. Joe will research what St. Thomas Parish’s current efforts are for a food drive and perhaps the Parish and the Preschool can combine efforts. Secretary, Julie Nentl No initial report. Treasurer, Amy Huether Last year’s (through June 2010) Profit & Loss report was distributed and discussed. The bottom line numbers on this report look profitable due to the Grant monies received. The report does not reflect the 2010 summer school numbers. The summer programs ran at a loss of $5,000. Summer enrollment was down, further discussion is required to determine if St. Thomas Preschool should offer the summer programs in 2011. Overall enrollment is also an issue for the current school year.
Director’s Report, Michelle Garmon During Michelle’s report Father Lyons entered the meeting. Father discussed the financial current state of affairs but is more concerned about what is coming. The economic environment has impacted schools and preschools and he believes the recession will impact schools for years to come. Father emphasized the importance of our annual fundraiser and stated he would like to provide a special dinner date with himself and Father Al for an auction item. He will allow solicitation of the St. Thomas parishioners for the event. Father requested a member of the preschool board to sit on the Pastoral Counsel for St. Thomas Parish. Fundraising, Tony and Kym Santa Maria The first meeting is next week in the Parish Hall. A flier to promote the meeting was created and will be stuffed into the children’s cubbies. The proposed date for the auction is February 19th, 2011. They are looking to build a committee and possibly will recruit a member from the Parish board to sit on the fundraising committee (as advised by Father). Initial ideas for the theme 70’s or 80’s, Mardi Gras and a Red Carpet Event. Old Business The Grant’s value is worth $20,000, a brief discussion occurred regarding what we want to request for the school including, but not limited to; a new playground structure, an arts center, smart boards. After deliberation, an agreement was made to request a combination of playground equipment that incorporates the arts. The next board meeting will be held on Tuesday, October 12th at 12:30 p.m. in the Parish Hall. The meeting was adjourned at 2:40 p.m. The minutes submitted by Julie Nentl.
